MANAGEMENT SYSTEM: THE BACK OFFICE
The Back Office is the management interface for the Arel Retail point of sale software system and includes the following features
BUSINESS SNAP SHOT
The initial screen in the Arel Retail Back Office shows a business snap shot, including key indicators of your business performance and graphs of various pos information categories, such as your top stores and your top selling products.
PRODUCT DEFINITIONS & PRICE LISTS
All products to be sold are declared in the back office. The system software supports flat product coding as well as two tiered and three tiered products. Each product can have an individual bar code number for ease of scanning and an import utility exists to enable legacy data to be loaded into the system.
For companies using three tiered products (eg design, colour, size) then a product matrix is available to simplify the creation and management of product information.
Each product has pricing information, tax information, and user defined product groupings for use in reporting.
The Back Office software also supports the creation of multiple price lists for your retail stores, and each product can have a different price in each price list. An example of this may be the separation of stores into full retail and clearance stores, with each type of store using the price list relevant to it.
Price schemes, covering 2 for 1 offers, or “buy 1, get the next at 50% off”, etc can all be defined according to a simple to use rule based system and selectively applied to specific products.
Price changes and Sales periods (discount pricing) may also be defined and set with an activation date. When the activation date arrives product prices will be automatically updated, and any product on sale will appear with a yellow highlight in the pos Front Office sales screen to indicate that it’s on special.
STORE MANAGEMENT
Each retail store in the company is defined individually and each store is assigned a price list for its products. Stores can be grouped into regions for management and reporting purposes.
Information on each stores sales, stock levels and performance is recorded at the point of sale and then transferred to the Back Office where it is available for review in either enquiry screens or reports.
Further to this, you may choose to associate stores. Stores that are associated with each other can see the stock levels in each other’s stores.
A scoreboard shows the sales of each retail store in comparison to the others throughout the day, and a status screen shows the last time each store transferred data.
SECURITY
All sales people and management staff are declared in the Back Office software as users. Users may be given individual security levels that allow them certain rights in both the point of sale and back office management systems.
Users may have restricted access in a specific store or a specific region, and staff that leave the company can be marked as inactive to prevent future access.
STOCK TRANSFERS & PURCHASE ORDERS
Purchase order management is provided within the back office and all purchase orders are receipted into a central stock warehouse.
Stock can then be transferred from the warehouse to store using a stock transfer.
For companies that have no warehouse purchase orders can be delivered direct to store, and are treated as a stock transfer by the store pos systems when they are receipted.
REPORTING
The Back Office system provides a wealth of reports that can be used to examine almost any aspect of the business, whether it be sales information, stock turn details or store budget performance.
These reports are available within the system and can be easily accessed and viewed. Further to this the reports may be provided as options on a web server for access remotely by senior management or travelling store region managers.
If further reporting is required, custom reports can be internally developed, or can be written for you by Arel Retail.
AUDITING
All activities in the system are recorded in an audit log. This log can be reviewed at any time for verification or staff management purposes.
